General Data Protection Regulation (GDPR)

DK Distribution takes the security and privacy of your data seriously. We need to gather and use information or ‘data’ about you as part of our business and to manage the relationship which exists between you and our business. We intend to comply with our legal obligations under the Data Protection Act 2018 (the ‘2018 Act’) and the EU General Data Protection Regulation (‘GDPR’) in respect of data privacy and security.

It is intended that this policy is fully compliant with the 2018 Act and the GDPR. If any conflict arises between those laws and this policy, DK Distribution intends to comply with the 2018 Act and the GDPR.

DK Distribution has measures in place to protect the security of your data.

DK Distribution will also only hold data for as long as necessary.

Data Protection Principles

Your personal data must be processed in accordance with six ‘Data Protection Principles.’ It must:

  • be processed fairly, lawfully and transparently;

  • be collected and processed only for specified, explicit and legitimate purposes;

  • be adequate, relevant and limited to what is necessary for the purposes for which it is processed;

  • be accurate and kept up to date. Any inaccurate data must be deleted or rectified without delay;

  • not be kept for longer than is necessary for the purposes for which it is processed; and

  • be processed securely.

Data use

Your email address will only ever be used in our own direct marketing and only by us (no third party). You may also unsubscribe from our mailing list by clicking 'Unsubscribe' which can be found at the bottom of all marketing emails we send. If you are not opening or interacting with our marketing emails Wix (our website provider) measures our contacts' behaviour over time to discern who is an active contact and who is inactive. This is determined by the frequency that your newsletters are opened and the number of clicks inside each one. Before sending out an email campaign, Wix automatically selects your active contacts. Inactive contacts data when deemed so will be deleted from our system.

-No data is stored on paper. 

-Data should be protected by strong passwords that are changed regularly and never shared between employees.

-Data will not be stored on removable media (like a CD or DVD).

-Data should only be stored on designated drives and servers, and should only be uploaded to an approved cloud computing services.

-All servers and computers containing data should be protected.

 

Personal data is of no value to DK Distribution unless the business can make use of it. However, it is when personal data is accessed and used that it can be at the greatest risk of loss, corruption or theft:

  • When working with personal data, employees should ensure the screens of their computers are always locked when left unattended.

  • Personal data should not be shared informally. In particular, it should never be sent by email, as this form of communication is not secure.

  • Data must be encrypted before being transferred electronically. 

  • Personal data should never be transferred outside of the European Economic Area.

  • Employees should not save copies of personal data to their own computers. Always access and update the central copy of any data.
